Pardot to HubSpot Migration

Most teams didn't choose Pardot. It came with Salesforce.

For Salesforce-anchored B2B and financial services teams that have outgrown Pardot and want marketing automation that keeps up. Salesforce stays. Your programs come with you.

It was sold as depth. One vendor, one bill, a native connection to the CRM. For a while, that was enough.

Then your programs outgrew the tool. Nurtures that should branch run in a straight line. You can see engagement, but you can't report on it in a way leadership trusts. Signals arrive with no clean way to act on them. So your team built around it: extra lists, manual steps, a workaround for every gap.

That's good work, done inside a tool that stopped growing with you.

Moving to HubSpot doesn't mean leaving Salesforce.

Salesforce stays your system of record. HubSpot takes over marketing automation, connected by an integration that is often more configurable than the one you run with Pardot today.

The programs and practices your team built in Pardot carry forward, onto a platform with room to build on them. And HubSpot keeps adding capability, so the ceiling keeps moving as you grow.

How Pardot maps to HubSpot

Most of what you run today has a direct home in HubSpot. Some of it gets rebuilt and comes out with more range. A few things need a real decision. Here's where each one lands.

01

What carries over directly

  • Prospects → Contacts
  • Custom fields → Properties
  • Dynamic lists → Active segments
  • Static lists → Static segments

Your records, CRM data, custom fields, lists, and subscription preferences all have direct homes in HubSpot. Prospects become contacts and sync to the Salesforce leads and contacts your sales team already works in, on rules you define.

The foundation moves intact.

02

What gets rebuilt with more capabilities

  • Engagement Studio → Workflows
  • Completion actions → Workflow triggers
  • Grading → Fit score
  • Scoring → Engagement score

Engagement Studio programs and completion actions become HubSpot workflows, with more room to branch, wait on real behavior, and act across contacts, companies, and deals. Scoring and grading rebuild as HubSpot's engagement and fit scores, which read the way your team already thinks: who's a fit, and who's paying attention. Unlike Pardot scores, engagement scores can decay, so a contact who goes quiet stops looking hot.

Most of what gets rebuilt gets rebuilt better or with more capabilities available.

03

What needs a real decision

A few things don't lift cleanly. Better to know that before the build starts.

  • Salesforce campaign member sync. HubSpot supports Salesforce campaigns, but reproducing Pardot's campaign member behavior takes deliberate design.
  • Historical engagement. Individual activity history rarely moves cleanly from any platform. What matters is preserved, and the rest is exported and documented.
  • Forms, landing pages, and email templates. These are rebuilt rather than imported, which is the chance to leave years of accumulated clutter behind.

Every one of these gets planned in the assessment, before anything is built.

Email compliance isn't an additional line item

Many financial services teams pay to BCC emails with a line item on their Pardot invoice.

In HubSpot, compliance copy email is included with Marketing Hub. One less line item.

How a migration runs

Pardot to HubSpot migration FAQ

How long does a Pardot to HubSpot migration take?

A light migration can take four to six weeks. A typical mid-market migration runs six to ten. A full enterprise migration can take up to sixteen. The difference comes down to how complex your programs are and how many assets need to move. Whatever the size, a migration should start with a detailed discovery and assessment, so everything that needs to survive the cutover is accounted for before any build begins.

Do I have to leave Salesforce to move to HubSpot?

No. Salesforce stays your system of record. HubSpot and Salesforce work well together, and the connector between them is often more robust and more configurable than the Pardot integration. HubSpot's wider feature set means you can do more with the data passing between the two. The bigger adjustment is usually mental: HubSpot and Pardot treat campaigns differently, so the way your team thinks about campaigns will shift. That gets planned for in the assessment, before the migration starts.

Will I lose data or historical activity in the migration?

Your records, CRM data, fields, lists, and past form submissions move safely. Historical engagement is the honest exception: individual activity history is hard to carry from any platform. Its value is also often overestimated. What you usually need going forward is a score or lifecycle stage that represents that history, not the full event log. A solid plan exports, retains, and documents the critical elements that can't be mapped directly, so nothing important is lost.

What happens to my lead scoring and grading?

Both have a home. Pardot scoring maps to HubSpot's engagement score and grading maps to its fit score, so your team keeps the same two-axis read. The migration is also the right moment to reassess them. Scoring logic drifts over the years, and carrying it forward is a chance to make your fit and engagement scores more meaningful than they were.

What happens to my forms and landing pages?

They're rebuilt in HubSpot's form and landing page tools, which do more than Pardot's. During the assessment, every form and landing page is inventoried and mapped to what replaces it, so nothing is missed. A migration should also include a domain and redirect plan, so every old landing page URL either redirects to its new page or has a deliberate place to land.

Does HubSpot support a compliance-conscious marketing team?

Yes. HubSpot doesn't replace your compliance process, but it has the controls a review-heavy team relies on. Compliance copy email sends a blind copy of every individual marketing email to your archive. Emails can be routed to reviewers, or exported to PDF for approval in whatever external system your legal or compliance team already uses. Permissions control who can see what, so sensitive records stay contained. And subscription types let a contact opt out of one kind of communication without cutting off all of them.

What makes a financial services migration different?

The platform mechanics are the same. What's different is how the business sells. Buying cycles are longer and built on recurring relationships, and HubSpot's lifecycle stages and pipelines can be modeled on that rather than on a generic funnel. Account and contact structures are more specialized, with custom properties that need a proper home, and HubSpot's data model can extend to custom objects when a relationship doesn't fit the standard contact and company structure. Pardot's handling of both is limited. Recurring and repeating relationships can be modeled too, and the assessment decides whether that lives in HubSpot or Salesforce.
